Before you plan an inspection
Before scheduling Quality Inspections, make sure the inspection criteria you want your team to assess are set up. The criteria define what the field team will evaluate during the inspection, so having them ready first makes the planning and field workflow much more straightforward.
Once your criteria are ready, you can start planning which Service Sites should be inspected and when.
Planning a Quality Inspection
Quality Inspections can be planned as part of your operational schedule. One Big Green gives you two convenient ways to schedule an inspection: from the Quality inspection planner section or directly from the Operational Calendar.
Schedule an inspection from the Quality Inspection Planner
In the Back Office, open the Quality inspection planner section and use the Planner tab to plan your inspections.
Select the Service Site you want to inspect and use the scheduling icon to open the scheduling form. The form is prefilled with the selected site. Add the assignee, choose the date and time, and save the inspection.
After you schedule the inspection, it appears in the assignee's schedule and remains visible in the list of sites and inspections in the Planner tab. The list shows the date of the upcoming inspection, so you can immediately see that an inspection is already planned and avoid scheduling the same site more than once.
Schedule an inspection from the Operational Calendar
You can also schedule an inspection directly from the Operational Calendar. Click the "Schedule an inspection" button and complete the scheduling form.
The Quality inspection scheduling form is quite similar to the form used for Service Visits, so the process should feel familiar if you already schedule other types of work in OBG.
Track which sites need an inspection
The Planner tab in the Quality inspection planner section also helps you keep track of inspection coverage across your Service Sites.
You can use the available filters to find sites that have not been inspected recently. For example, you can filter to show sites that have not had a quality Inspection in the last three months, six months, or another available period. This makes it much easier to identify sites that may have been overlooked and decide where the next inspections should be scheduled.
The planner also shows previous inspection scores for the relevant sites. This gives you additional context when deciding which sites should be inspected sooner. For example, a site that has not been inspected for several months and had a relatively low previous score may deserve more attention than a site with a recent strong result.
Performing a Quality Inspection in the mobile app
The Quality Inspection workflow in the mobile app is designed to feel familiar to anyone who has completed a Service Visit in OBG.
When the assigned team member opens the inspection, the workflow is organized into several tabs.
Start with the Start tab
The Start tab provides the general instructions for the inspection, an overview of open extras, and the button to begin.
Assess Displays in the Regular tab
The Regular tab is used to assess the health of each Display and record Display-related information.
The previous score is not shown while the assignee is assessing Displays. This helps keep the assessment objective.
Assess the health of the Displays.
Add Display-specific notes when applicable.
Trigger a Replacement when needed.
Update or add the Display photo. It is also handy for quickly updating or adding photos when the initial records were incomplete.
Score the site in the Criteria tab
The Criteria tab is where the assignee evaluates the Service Site against the criteria defined in the Back Office.
Each applicable criterion can be scored from 1 to 5. The assignee can also leave a criterion unscored when it is not applicable or does not need to be assessed.
Notes can be added to explain individual scores. These notes provide useful context when the inspection results are reviewed later.
Handle related work in the Extras tab
The Extras tab provides access to Issues, Assignments, and Replacements related to the Service Site.
When an inspection identifies something that needs follow-up, the relevant operational record can be handled as part of the inspection workflow rather than being kept separately.
Review everything in the Finish tab
The Finish tab provides a summary of everything recorded during the inspection before it is submitted.
Review the recorded information and make sure the inspection has been completed as intended before submitting it.
Submit the inspection
Once the inspection has been completed and reviewed, submit it from the mobile app. After submission, the completed inspection becomes available in the Back Office under the Reports > Quality inspection reports section.
The completed record provides a digital history of the inspection, including the assessment results and information recorded during the inspection.
A typical inspection workflow
A typical workflow might look like this:
Set up the Quality Inspection criteria you want the field team to assess.
Open the Quality inspection planner section and review which Service Sites have not been inspected recently.
Use the available inspection-period filters and previous scores to decide which sites should be prioritized.
Schedule an inspection from the Planner tab, or use the "Schedule an Inspection" button in the Operational Calendar.
Assign the inspection and choose the date and time. The inspection appears in the assignee's schedule and in the list of sites and inspections.
The team member opens the inspection in the mobile app and starts it from the Start tab.
Displays are assessed in the Regular. The previous score is not shown, helping keep the assessment objective. Display photos can also be added or updated from the plus icon in front of the respective Display.
The site is evaluated against the defined criteria in the Criteria tab.
Any related Issues, Assignments, or Replacements are handled through the Extras tab.
The team member reviews the recorded information in the Finish tab and submits the inspection.
The completed inspection is available in the Reports section under Quality inspection reports in the Back Office.
