Before you start
Make sure the Service Site and the relevant Service already exist. They do not need to be filled in with every possible detail before you start. You can create a Service Site and a Service, add the inventory, and then return to add the relevant details for the site and Service. Each Service has its own Display list. A newly created Service will have an empty list until you add inventory.
Ways to add inventory
One Big Green offers several ways to add inventory:
Add Displays, Planters, and Plants one by one in the Back Office.
Add inventory one by one through the mobile app.
Import inventory from a spreadsheet.
Import photos and have the AI engine recognize what is shown, then turn the images into structured, detailed inventory based on the items visible in the photos.
This guide covers only manual entry through the Back Office. For the other methods, see the relevant articles about adding inventory through the mobile app, importing a spreadsheet, and creating inventory from photos with AI recognition.
Add a Display
In the Service's Display list, click “Add Display”. A new empty line appears. Enter a name and fill in the available Display details, then click the checkmark icon to save the record.
Use a name that will help the technician recognize the installation on site. If the list is already long, remember that a newly added line appears at the top while you are editing, but after saving it moves to the bottom of the list. Do not assume the new Display has disappeared if you do not see it at the top after saving.
Add a photo
Adding a photo is optional, and One Big Green can function without Display photos. However, a photo of each Display makes technicians' work much easier: they can quickly identify the correct Display and log their maintenance actions more accurately and efficiently. To add one, click the Display's image placeholder, upload the image, crop it for the thumbnail if needed, and save it.
Add Planters and Plants
To add a Planter, click the plus icon next to the Display name. To add Plants, click the plus icon next to the relevant Planter. This connects each Plant to the correct Planter and each Planter to the correct Display.
If a Planter contains several plant types, add each plant entry under that Planter. If your business does not track container details, you can add a Plant directly from the Display menu. One Big Green will create placeholder Planters automatically.
Edit an existing record
To edit a Display, Planter, or Plant, click its line in the list to open the edit form. Make the required changes and click the checkmark icon to save them. Check that you are editing the correct level: Display details belong to the installation, Planter details belong to the container, and Plant details belong to the plant entry.
Move a Plant to another Planter
If the planting arrangement changes, you can move Plants between Planters. After the move, review the inventory to make sure the Plant is listed under the Planter that now contains it.
Arrange Displays in walking order
Walking order is the sequence in which technicians move between Displays during a visit. When you add Displays, whether one by one or through another method, you do not need to enter them in the correct walking order straight away.
Once the Displays are in the list, click the "Edit Walking Order" icon, drag and drop the Displays into the sequence that matches the team's route through the Service Site, and save the changes. See the related article about arranging Displays in walking order for more guidance.
Walking order should reflect the practical route technicians take through the location, rather than simply sorting Display names alphabetically.
Use the list controls
For large inventories, use the controls at the top of the list to keep the view manageable.
To hide Planters when you do not track them, remove the checkmark next to “Show planters”.
Collapse the Displays to hide all Planters and Plants logged for them.
Expand the Displays to show their Planters and Plants again.
Use the available filters to narrow the list by Display parameters, Planters, Plants, or location.
Practical tips
Add Displays to the correct Service's inventory.
Use clear names. Photos are optional, but they help technicians identify Displays and record maintenance actions accurately.
Save edits with the checkmark icon before moving on to another record.
When adding several Displays, remember that a newly saved Display moves from the top entry position to the bottom of the list.
After adding the Displays, arrange them in walking order to match the technician's route through the Service Site.
Hide Planters or collapse the list when you need a simpler overview, and expand it again when you need to inspect plant details.
Review the list after editing to confirm that Plants are linked to the right Planters and Planters to the right Displays.
