Deliveries in One Big Green: Overview and Workflow

Learn how deliveries fit into the One Big Green workflow, from scheduling and preparing the job to completing it in the mobile app and reviewing the resulting records.

How deliveries work

A delivery is a type of visit in One Big Green whose purpose is to bring something to a specific Service Site. For example, a delivery can be used to bring plants and other materials for a new plant installation, or to deliver replacement plants or materials to a site. A delivery records the planned job and the work completed at that location.

Deliveries can be assigned either to a dedicated delivery and installation team or to an individual technician. The right approach depends on your company's workflow, team structure, and how you organize installation and replacement work. One Big Green lets you schedule the delivery according to the way your company operates.

Schedule a delivery

You can schedule a delivery from the delivery scheduling screen or from the Operational calendar by selecting “Schedule a delivery”. Complete the delivery details before scheduling.

  • Select the Service Site and Service.

  • Select the Technician assigned to the delivery.

  • Confirm that the job type is Delivery.

  • Set the delivery date, start time, and end time. Select Flexible if the timing should be flexible.

  • Enter clear delivery instructions, including what needs to be delivered, quantities, placement details, and any site-specific information the assigned staff member needs.

  • If the delivery fulfills replacement requests, link the relevant tickets. Only replacement tickets with the status Delivering are available to link.

  • Select Customer sign-off required and/or Photo required when these records are needed for the job.

  • Attach relevant documents or other files using “Upload files”, then select “Schedule”.

The scheduled delivery appears in the Operational calendar. Use the calendar filters, including Job type, to narrow the calendar view to deliveries or to a particular technician, Service Site, or other available filter.

Prepare the delivery

Office team and supervisor: prepare the instructions

Before scheduling a delivery, make sure the instructions clearly explain what needs to be brought to the Service Site, the quantities involved, where items should be placed, and any other details needed to complete the job. Clear instructions help the assigned technician, delivery staff, or installer prepare in advance and reduce the need for clarification on site.

If standard delivery instructions are saved for the Service Site, they are automatically copied into the instruction field when you schedule a delivery. Review the copied text and edit or amend it whenever the particular delivery requires different details.

You can also duplicate an existing delivery when you need to schedule similar work at different Service Sites. Open the delivery in the Operational calendar and click the duplicate icon. Update the Service Site, assigned person, date, and any site-specific details as needed before scheduling the new delivery. This lets you reuse the same instructions while assigning different people to different deliveries.

Technician, delivery staff, or installer: review the job in advance

Assigned staff can tap a delivery in their schedule for today or a future date to review its details and instructions without starting the delivery. Encourage the team to check upcoming deliveries in advance so they understand what needs to be delivered, where it needs to go, and what to prepare before arriving at the Service Site.

For work in an area with poor reception, open the mobile app while online before entering the area. The app downloads information for the next two working days. If a visit is added to the schedule after staff have gone offline, its Service Site information will not be available offline.

Complete the delivery in the mobile app

The assigned technician, delivery staff member, or installer opens the scheduled delivery, reviews its instructions, completes the work, and records the required details in the mobile app. Collect customer sign-off or photo proof if these were required when the delivery was scheduled.

Review delivery reports in the Back Office

Open Reports > Delivery reports to find and review completed deliveries. The list gives you an overview of completed work before you open an individual report. You can see the date, Service Site, Service, number of Displays, assigned technician, and time spent. Use the available filters to find a particular delivery.

The Notes, Issues, Assignments, and Replacements columns use icons to summarize the records associated with each delivery. The number next to an icon shows how many items of that type are associated with that delivery. It is a count, not a status.

The Notes icon is blue and indicates the number of Display notes submitted during the delivery. For Issues, Assignments, and Replacements, a red icon means an item was created during the delivery, while a green icon means an item was completed during the delivery. These colors provide a quick overview of what changed without opening every report.

To see the details behind these counts, open the delivery report. The report separates changes into the “Change in issues”, “Change in assignments”, and “Change in replacements” blocks. Display notes appear in their own “Display notes” block, and the Display list helps you see which notes relate to which Displays.

Open an individual delivery report to review the recorded details, including any photo proof or customer sign-off that was requested, as well as changes to replacements, issues, or assignments. If the report was shared externally, you can also review the record of when it was emailed and access the PDF report and its accompanying cover note.

If the connection drops during a delivery

If the connection drops, completed actions or reports may be stored in the Saved Actions section until the app can synchronize. If records are missing from the Back Office, check Saved Actions before repeating the work. If the signal keeps switching and complete records are essential, staff can turn off mobile data and work fully offline until the job is finished, then reconnect to synchronize.

Practical tips

  • Make delivery instructions specific: include items, quantities, placement, and any special requirements.

  • Check the standard delivery instructions copied from the Service Site and amend them when needed.

  • Duplicate a delivery from the *Operational calendar* when scheduling similar work at different sites, then update the site, assignee, date, and details.

  • Review scheduled deliveries in advance by tapping them in the mobile schedule without starting them.

  • Use the report-list icons and numbers to spot recorded notes and changes quickly, then open the report when you need details.

  • If records are missing after a connection problem, check *Saved Actions* before repeating the work.
