The Timesheets section contains individual records of team members’ working time. Each row represents an entry, such as a Service Visit, delivery, quality inspection, commute, break, or unplanned activity. You can filter the list to find specific records, review details and comments, and edit or add entries when needed.
Find the entries you need
Open the Timesheets section in the Back Office. Entries are listed chronologically.
Use the available filters to narrow the list to the records you want to review.
Person: show entries for a specific team member.
Activity: review time recorded for a particular type of work.
Date range: focus on a selected period.
Service Site: review time associated with a particular location, where this filter is available.
You can combine filters. For example, select a Service Site and the Services activity type to view entries related to Service Visits at that site. To review one person’s work over a pay period, filter by that person and the relevant dates.
Review a timesheet entry
Review the activity, recorded time, and any available details that explain the work.
Service Visit, delivery, and quality inspection entries include a shortcut to the related report. Unplanned activity entries may include a comment from the team member describing what exactly they did.
When a team member forgets to close the working day
If a team member forgets to formally close their working day, OBG automatically closes the day at midnight.
The affected timesheet entries are highlighted in red to draw your attention to them. Red highlighting indicates that you should review the entries and, if needed, check with the team member and manually correct the finish time.
Review and process timesheet comments
Team members can submit comments in the mobile app to explain unusual events, clarify why an activity was not logged as expected, or point out a missed or incorrect entry. These comments appear in the timesheet so you can understand what happened before making corrections.
Comments appear in the timesheet in the order they were submitted. After you have reviewed and dealt with a comment, use the icon next to it to mark it as processed. This helps you distinguish comments that still need attention from those you have already handled, so you do not need to review the same processed comments repeatedly.
Edit an existing entry
After you save an edit, OBG keeps a history of the change, including the original time, the updated time, and the name of the person who made the edit. Click the icon next to the edited time entry to view these details.
OBG validates the timesheet after you edit an entry. If the updated time overlaps with another entry for the same person, both affected records are highlighted in yellow. This signals a possible inconsistency that you should review and correct if needed.
Best practice: If you need to adjust an entry’s time but keep it on the same day, edit the existing record. You can adjust an entry’s timing only within that day. If the entry was recorded on the wrong day, create a manual entry with the correct date and time, then delete the original entry.
Add a missing record
If an activity was not logged, you can add a record manually from the Timesheets section.
Filter the list to find the relevant person and date.
Click “Add record”.
Enter the required details for the activity and its time.
Save the record and check that it appears under the intended date.
Choose the activity type that matches the work. For unplanned activities, include any relevant details and associate the activity with a customer or Service Site when appropriate.
Practical tips
Combine filters. Person, activity, date range, and Service Site filters can help you find the exact entries you need.
Keep an eye on red entries and update them. They were automatically closed at midnight, so their recorded finish times need to be reviewed and corrected.
Keep an eye on yellow overlaps and correct them when needed. They indicate that time entries overlap and may be inconsistent.
Mark comments as processed once handled, so you can focus on comments that still need attention.
