How Commute Time Is Calculated

Understand how One Big Green calculates commute time during the working day and allocates it to Service Sites for timesheets and budgeting.

One Big Green (OBG) uses the recorded workday and Service Visit start and finish times to determine commute time. Commute Time includes travel before the first Service Visit, travel between Service Sites, and travel after the last Service Visit - when that time falls within the recorded working day.

How OBG identifies commute time

Commute time is the time between the relevant workday and Service Visit timestamps, rather than the time spent performing the Service Visit itself.

  • First commute of the day: The time from the start of the working day to the start of the first Service Visit is recorded as Commute Time and allocated to the first Service Site.

  • Travel between Service Sites: The time between finishing a Service Visit at one Service Site and starting the next Service Visit is recorded as Commute Time. By default, this time is split equally between the two Service Sites.

  • Last commute of the day: The time from the finish of the last Service Visit to the end of the working day is recorded as Commute Time and allocated to the last Service Site.

How commute time is allocated to the Service Sites

OBG assigns commute time to Service Sites so the travel time can be included in the relevant site-level records and budget calculations.

  • First commute: 100% is allocated to the first Service Site of the day.

  • Commute between two Service Sites: The time is split 50/50 between the site the technician is leaving and the site they are traveling to, by default.

  • Last commute: 100% is allocated to the last Service Site of the day.

Change the allocation between Service Sites

If the default 50/50 split does not reflect the situation you want to represent, you can edit the allocation proportions directly in the timesheet. For example, if a technician visits several nearby Service Sites and then travels a much longer distance to another site, you may want to assign a different share of that journey to each site.

  1. Open the relevant commute entry in the Timesheets tab.

  2. Select the entry and click “Edit cost allocation”.

  3. Choose the two Service Sites and set the allocation percentages you want to apply.

Adjust the allocation to reflect your company’s approach consistently. Changing the allocation determines how the commute time is distributed between the two Service Sites; it does not change the recorded duration of the journey.

How the start and end of the working day affect commute time

The first and last commute are calculated from the recorded start and finish of the working day.

If your company treats travel to the first Service Site and from the last Service Site as paid or billable work time, the technician should start the working day at home or at the shop, as applicable, and finish the day after the final commute. This allows that time to be recorded and allocated to the first or last Service Site.

If travel to and from work is not paid or should not be included in site budgets, the working day can instead start at the first Service Site and end at the last Service Site. In that case, the commute to the first site and from the last site falls outside the recorded working day.

Where to review commute time

You can review individual commute entries in the Timesheets tab of the Back Office. To see how much commute time has been allocated to each Service Site and compare actual time with the budget, open the Budgets tab and review the Commute Time figures for the relevant site.

Practical tips

  • Keep the workday start and finish times accurate. These timestamps determine whether the first and last commutes are included.

  • Use the default 50/50 split for travel between Service Sites unless your company’s allocation approach calls for a different breakdown.

  • Review unusually long journeys between sites and use “Edit cost allocation” when the default split does not reflect how the travel should be attributed.

  • Check Commute Time in the Budgets tab to compare actual commute time with the budget for each Service Site.
