Understanding Display History

Display History is a shared record of what has happened to a Display over time. It helps technicians and supervisors understand its maintenance, condition, replacements, notes, and changes, even if the person reviewing it was not involved.

What is Display History?

Think of Display History like a person’s medical history. Different doctors may treat the same person over the years, and each doctor adds relevant information to the person’s medical file. When another specialist treats that person later, they can review the same file to understand what has already happened and make better-informed decisions.

Display History works in a similar way. It keeps a record of activities and changes associated with one specific Display. A technician or supervisor can review the record even if someone else carried out the previous maintenance or updated the inventory. This gives the team continuity and helps prevent important information from being lost between visits.

Most Display History entries are generated automatically when the Display is maintained or edited. For example, maintenance actions recorded during a service visit, replacements, and changes to Display or inventory details can appear in the history without someone having to write a separate note.

Display notes are the exception. A note is added manually by a technician or supervisor to record an observation or information about that particular Display. Notes can be added during a service round or outside a scheduled visit. Once saved, they appear in Display History alongside the automatically generated entries.

Open Display History in the Back Office

In the Back Office, open the relevant Service’s Display list. Find the Display you want to review, click the plus icon next to its picture, and select “View history”. The History window opens with the Display’s recorded activity.

Use the checkboxes at the top of the History window to choose which types of information to show:

  • Show display notes: manually added notes and any images attached to them.

  • Show maintenance history: maintenance actions recorded during visits, such as watering or fertilizing.

  • Show replacement history: records related to plant or planter replacements.

  • Show edit history: changes made to the Display or its inventory details.

History entries can show the date, author, and a description of the activity. Depending on the entry, images may also be displayed.

View Display History in the mobile app

Open the Display in the mobile app. Its history appears on the Display screen as a timeline, with entries showing when an activity or change was recorded and who recorded it. Maintenance entries can show the actions completed during a visit, while edit-history entries describe changes to the Display or its details.

The mobile view may present entries differently from the Back Office History window, but both help you understand the recorded activity for that Display.

Display notes

A Display note should contain information about the specific Display, not general information about the entire Service Site. If the observation applies to one plant installation or group of planters, add it to that Display’s history. Information that applies to the whole site should be recorded in the appropriate site-level place instead.

Examples of useful Display notes include:

  • “Possible pest infestation on the lower leaves” with a photo showing the affected area.

  • “Several leaves are yellowing; check whether the condition has changed at the next visit.”

  • “Planter is wobbling and may need to be secured.”

  • “Visible damage to the living wall near the bottom-right corner.”

  • “Client asked us to keep an eye on this Display because it has been drying out quickly.”

  • “Access to this Display was blocked today by furniture; maintenance could not be completed.”

To add a note in the Back Office, open Display History and click “Add note”. Enter the note text, optionally add a picture, then click “Done” to save it. In the mobile app, open the Display and use the add action, then choose “Note”. Enter the text, optionally attach a photo, and tap “Save”.

Saved notes become part of the Display’s history and can be reviewed later alongside maintenance records, replacement records, and edit history. In the Back Office, use “Show display notes” to include or hide notes in the History window.

Practical tips

  • Write notes that are specific and actionable. Describe what you observed, where on the Display it is, and what may need checking next time.

  • Attach a photo when it helps explain a condition, such as pests, damage, or unusual plant growth.

  • Keep notes Display-specific. Do not use a Display note for general site information, such as building access instructions that apply to every Display.

  • Review Display History before servicing a Display to understand previous maintenance, observations, replacements, and changes.

  • If an entry is not visible in the Back Office History window, check that the relevant history checkbox is selected.
