How Mileage Is Captured Throughout the Day

Understand when One Big Green captures vehicle mileage, how the next starting mileage is prefilled, and how to spot inconsistencies in mileage records.

When mileage is captured

One Big Green captures vehicle mileage at two points in the working day: when a mobile user starts their working day and when they finish it. At each point, the user records the mileage for the vehicle they are using. This creates a starting and finishing mileage record for that working day.

Select the correct vehicle

When starting and finishing the working day, make sure the selected vehicle is the one you are actually using. Accurate vehicle selection helps keep the mileage records associated with the right vehicle.

If you select the same vehicle that you used previously, One Big Green automatically prefills the mileage recorded when you last finished the working day with that vehicle as the starting mileage for the next time you start a day with it. Check the prefilled value before continuing. If it does not match the vehicle’s actual mileage, correct it.

Choosing a travel option other than a vehicle

When starting the working day, the mobile app offers options other than selecting a vehicle, including traveling on foot or by public transport. These options are intended for field team members whose workday does not involve using a vehicle.

If the user selects one of these options, the starting mileage field is deactivated, and the app will not ask for an ending mileage when the user finishes the working day. This is expected behavior for team members who work on foot or travel by public transport.

A trust-based system

Mileage capture in One Big Green is trust-based. Users enter the mileage at the start and end of their working day, and the system relies on those entries. It is therefore important to enter accurate readings and check any prefilled starting mileage rather than assuming it is correct.

How inconsistencies are identified

Incorrect or inconsistent mileage entries may not be obvious at the moment they are entered. They become visible when you review the Mileage and Commute report in Back Office, where you can compare the starting and finishing mileage records for each vehicle and day.

For example, the report may show a negative mileage difference or a change that does not make sense. These are signs that the entries should be checked. Review the relevant date, vehicle, and technician details to investigate the inconsistency.

Practical tips

  • Record mileage at both the start and the end of every working day.

  • Always select the vehicle you are actually using.

  • Check the prefilled starting mileage when you use a vehicle again, and correct it if needed.

  • If you travel on foot or by public transport, choose the matching option when starting the working day; mileage entry will be disabled for that day.

  • Review the Mileage and Commute report regularly to identify suspicious or inconsistent mileage records.
